Frequently asked questions

Everything you need to know about Behind The Workflow, from generating and prompt checks to what BTW records per asset, client reviews, sharing and export, the EU AI Act, and what the first 30 days include.

What is Behind The Workflow?
Behind The Workflow, or BTW, is AI asset management software for creative teams, agencies and studios. You generate images and video with current AI models inside the platform, a scanner checks your prompts for legally sensitive content and keeps the finding on the asset, and every asset keeps its prompt, model, version, references and approvals on one record. Client review rounds run on that same record, and a usage view shows where credits go and how much of the work actually gets used.
Who is BTW for?
BTW is built for the people who ship AI creative work under a deadline. Freelancers keep every client project reproducible on their own. Teams and studios share one memory with clear roles. Agencies hand off clean, defensible deliveries to their clients. It scales from a single workflow up to a full studio without anyone changing tools.
Which AI tools does BTW work with?
Both directions work. You can generate images and video with current AI models directly in BTW, and you can bring in work from any tool you already use, either through the browser extension straight from that tool or by direct upload. Nothing is locked to one generator, so an asset you made elsewhere ends up on the same record as one you made here.
Do I have to change the creative tools I already use?
No. You can keep generating exactly where you generate today, and your creative process stays the same. BTW adds a record around that work rather than replacing any part of it. Generating inside BTW is an option, not a condition.
What does BTW record about each asset?
Each asset carries its full recipe: the prompt that ran, the tool and model behind it, the seed and aspect ratio, the references attached to the shot, the earlier versions in the order they were made, the decision to hold, kill or finalise it, and the author and time. All of it stays on the asset, so it travels together when you share or hand off the work.
What does the prompt scanner check?
BTW checks a prompt for the things that tend to cause trouble later, such as named living people, protected characters and brand marks, or the style of a named living artist. You run it on a single prompt or on every prompt in a project, and the finding stays on the asset. Before you send work out for client review, BTW points out the assets whose prompts nobody has looked at yet. You see the finding and decide for yourself, because the scanner flags rather than blocks. It is a warning built on our own rule set, not legal advice.
How do client reviews work?
You share a link and the client comments directly on the image or video without creating an account. Their feedback, the round it belongs to and the final sign-off land on the same record as the prompt and the model. When someone asks months later why a shot looks the way it does, the reason and the approval sit next to each other.
How does the browser extension work?
The extension lets you document an asset without leaving the tool you made it in. When a generation is done, add the file or paste an image, enter the prompt and production details you want to preserve, choose the BTW project, and save. The extension does not read the AI platform or fetch its files automatically.
Can I share and export my work, or hand it off to a client?
Yes. You can share any image or video straight from BTW with its record attached, including the model, prompt, references, decision, author and time. Download in full resolution whenever you need the files, and hand a client the complete documentation in a click, so the person on the other end receives the work and the account of how it was made together.
How does BTW help with the EU AI Act?
Article 50 of the EU AI Act has created transparency and disclosure duties for certain AI-generated or manipulated content since 2 August 2026. It does not prescribe a document, so there is no legally required production log and anyone selling you one is overstating it. What the duties do mean is that you have to be able to say what was AI generated and how, and BTW keeps the prompt, model, references and decision behind every shot, so that answer already exists when a client, a broadcaster or a rights office asks.
Can I prove which references or model produced an image?
BTW keeps a structured, reproducible record of what you attach and declare for each shot, including the prompt, the model, the references, the versions, the decision, the author and the time. It is honest to call this a declared, reproducible account rather than cryptographic proof that one specific reference or model was used. What you get is a clear, shareable trail of how the work was made, which is what most clients and reviewers actually ask for.
Does BTW work for teams and agencies?
Yes. Teams get one shared memory with projects and clear roles, so everyone can see who made which shot, with which model and reference. Agencies can hand each client a clean record of the work and keep their own reproducible archive at the same time. Features and limits are set per workspace, so a studio and a solo artist each get the right shape.
Is my data secure and GDPR-friendly?
BTW is built with GDPR in mind and is a European company, so data protection is treated as a starting point rather than an afterthought. You stay in control of your projects, you can export a full backup whenever you want, and the production record teams use for client delivery and AI disclosure questions is created as part of normal work.
How much does BTW cost?
Every account starts with 30 days on the Team plan. No card is asked for and nothing is charged, so the trial simply ends if you do nothing. After that you can continue on Free with two active projects and 40 GB of storage, or choose Freelancer, Team or Agency as your workflow grows. The current limits and prices are on the pricing page.
How quickly can I start?
About two minutes. BTW is live, so you can create your first project today. The 30 days begin when you sign up and no payment details are needed to get going.
